Seller Availability Reply vs Warehouse Receipt
Distinguish an earlier seller stock answer from a later received-goods record and identify what each can and cannot confirm about a Yupoo order.
These records answer different questions
A seller availability reply speaks to a proposed item and a moment in time. A warehouse receipt concerns goods reported as received under a handling-service reference. Neither alone confirms the full chain from the album photo to the correct received variant.
The seller stage
Record the item code, chosen colour and size, quantity, response date and who answered. The availability-reply record keeps the answer tied to one selection. It is not a reservation guarantee or proof that a purchase was accepted.
The receiving stage
Record the service's received ID, visible item details and quantity. Match that identifier back to the accepted order line; do not assign it solely by arrival order. The warehouse receipt reconciliation guide covers several incoming packages.
The missing bridge
Between those stages, keep the accepted purchase request or order confirmation that identifies the exact selection. If the seller replied about one size but the received photo shows another, record the discrepancy and ask the handling service to clarify. The variant-notes versus QC-notes comparison helps keep pre-purchase intent distinct from post-receipt observation.
Do not treat a warehouse receipt as proof that QC passed, or a stock reply as evidence that the item arrived.
